Mail Manager subscriptions and messaging

Effective September 23, 2026

Pythia Software LLC operates the Mail Manager subscription service at mail.pythia.software and mail.grady.dev. This policy explains how we handle information for subscriptions to xplo Tech Blog and Pythia startup announcements, their delivery, and related account or verification messages. It does not describe data collected by the xplo application itself.

Information we collect

Depending on what you provide and which delivery channels you choose, we may collect your name, email address, mobile number, postal address, and birthday month and day (without the year). We also keep your publication and delivery-channel choices, contact-verification status, consent and preference changes, and records needed to deliver messages and administer the service. Supplying or importing a phone number does not, by itself, verify that you own it or enroll you in publication texts.

How we use it

We use this information to verify contact ownership, manage subscriptions and opt-outs, send the publications and delivery channels you request, send requested access or verification messages, deliver physical mail when selected, prevent abuse, and keep delivery and administrative records.

You choose between xplo Tech Blog and Pythia startup announcements, and choose email, Text, or available physical mail options independently. Publication texts generally link to the selected publication rather than containing the full article or post.

Text messages

Text is optional. Message frequency varies with the publications you select and how often they publish; selecting multiple publications can mean receiving multiple texts, and there is no fixed monthly message limit. Message and data rates may apply. You can change your selections in Mail Manager or reply STOP to a publication text to unsubscribe from publication texts. Replying START does not automatically restore a subscription; you must choose to subscribe again. If you request a phone-ownership or sign-in code, Twilio Verify may send a separate one-time text even after you have unsubscribed from publication texts.

Service providers and sharing

We use service providers to operate Mail Manager: Google Cloud/Firebase for application infrastructure, Neon for database hosting, and Twilio for email delivery, phone verification, and SMS. They receive the information needed to perform those services for us. A mailing-list export may also be used by the service owner to prepare physical deliveries you requested.

We do not sell mobile numbers or share them, SMS opt-in data, or consent records with third parties or affiliates for their own marketing or promotional purposes. Mobile numbers are disclosed to service providers acting for Pythia only as needed to run the service and deliver or verify messages. We may also disclose information when required by law or to protect the service and its users.

Retention and requests

We keep subscription information while it is needed to provide the service. After an unsubscribe, we may retain consent, opt-out, delivery, and administrative history to honor your choices, prevent unwanted messages, resolve issues, and meet legal obligations. Backups are retained for a limited period before they expire. We do not promise immediate removal of all records from active systems or backups.

To request access, correction, or deletion of your information, contact info@pythia.software. We review requests manually and will explain what we can remove and what history we need to retain. You may also use Mail Manager to change your subscriptions and delivery choices.

Changes and contact

We may update this policy as the service changes. The effective date above identifies the current version. For privacy questions, email info@pythia.software or use our contact page.
